A. F. JONES STONEMASONS LIMITED requires specific information from customers, to carry out their specified service.
This policy explains how customer’s data is used, stored and disposed of. Due to GDPR regulations enforced on 25 May 2018, Your Company Name will work with this policy to ensure they are compliant with the Data Protection Bill.

All information regarding orders and customer data will be dealt with under the strictest of circumstances. Customers also reserve the right to opt out of all communication at any point by contacting us.

General Staff Guidelines

The only people able to access data covered by this policy should be those who need it for their work.
Data will not be shared informally. Strict access is in place.
A. F. JONES STONEMASONS LIMITED will provide training to all employees to help them understand their responsibilities when handling data.
Employees will keep all data secure, by taking sensible precautions.
Security must be at the highest level when dealing with all personal data.
Data will be regularly reviewed and updated.
Employees will request help from the data protection officer if they are unsure about any aspect of data protection.

Data Receipt & Storage

Here we explain how and where data should be safely stored.

Digital data is stored in one secure location within the UK, with restricted access.

Unnecessary data should NOT be submitted, only data required to carry out current orders.

Any printed data must be used to perform work-related tasks and destroyed securely once orders have been completed.

Paper files will be kept in a locked drawer or filing cabinet.
Employees will make sure paper and printouts are not left where unauthorised people could see them.
Data printouts will be shredded and disposed of securely.
Electronically stored data must be protected from unauthorised access, accidental deletion or misuse.
All server and computers containing data will be protected by and approved security software and a firewall.
Data will be backed up frequently.
Data will not be saved directly to personal laptop or smart devices such as personal mobiles and tablets.
Data will be stored on designated drives and servers.
Removal of data is organised upon request.
On any occasion A. F. JONES STONEMASONS LIMITED works as a sub processor all the above rules will be applied.

Data Use

Person

Personal data is of no use to A. F. JONES STONEMASONS LIMITED unless the business can make use of it. However, it is when personal data is accessed and used that it can be at the greatest risk of loss, corruption or theft:

It is the Marketing Executives responsibility to ensure marketing databases are checked.
Any outgoing marketing mail must be approved by the recipient or include an opt out option.

Subject Access Request

All individuals who are subject of personal data held by A. F. JONES STONEMASONS LIMITED are entitled to:

Ask what information the company holds about them and why.
Ask how to access their data.
Be given the opportunity to keep their data up to date.
